Can ChatGPT Analyze Your FedEx Settlement Statements?

Route Impact Team

Yes. ChatGPT can read a FedEx Ground settlement statement and explain it clearly. What it can't do on its own is check the statement against your contract, because it has never seen your Schedule C, or compare it with your other weeks, because it only knows what you give it in that conversation. It's a capable reader. Give it the right file, your rates and a specific question, and it will explain sections, work out effective rates and point at lines worth asking about. The limits are about context and consistency, not intelligence.

What ChatGPT does well

  • Explaining the statement. What each section is, what a label means, how the totals fit together.
  • Working out rates. Dollars divided by units for each line, if you ask for it.
  • Answering follow-up questions in plain language, as many as you like.

Where it needs your help

  • Your contract. It can't tell you whether a rate is right unless you give it your Schedule C rates. Reading a statement isn't the same as checking it.
  • Your history. Comparing this week with the last 26 means giving it all 26, every time.
  • Long tables. A statement has daily rows, nested totals and per-driver detail. It can pick the wrong total or count a nested line twice, so check its totals against the statement's own.
  • The same check every week. Ask a slightly different question and you can get a slightly different method. An audit should apply the same rules every week.
  • Your data settings. Consumer AI tools may use what you type to train models, depending on your plan and settings. Check yours before you upload financial records.

How to use ChatGPT on a settlement, step by step

  1. Use the downloaded file, not a photo. The statement you download from MyBizAccount keeps the numbers in columns.
  2. Remove the per-driver detail. It isn't needed for the totals, and it identifies your drivers.
  3. Give it your Schedule C rates if you want a rate check: the per-stop, per-package and fixed charges for your CSA.
  4. Ask a specific question. A list of lines with units, dollars and the rate paid is more useful than "is this right?".
  5. Check its totals against total charges and net amount due on the statement.
  6. Use the same prompt every week, and keep the results yourself, so this week can be compared with last.

A prompt to start from

An example, to adapt. The rates in it are placeholders, not typical figures:

This is my FedEx Ground settlement statement for one Saturday–Friday week. For every line in the pickup and delivery, e-commerce and other charges sections, list the units, the dollars and dollars ÷ units. Then compare the rates with my Schedule C: delivery stop $X.XX, delivery package $X.XX, pickup stop $X.XX, fixed charge $X,XXX per week. List any line where the rate paid differs from the contract rate, with the dollar difference. Finally, list every deduction and confirm that total charges minus deductions equals the net amount due.

Treat anything it finds as a question to check, not a conclusion. Look at the line yourself, then ask your FedEx contact. An amendment or an adjustment due next week can explain a difference.

Common questions

Can ChatGPT read a FedEx settlement PDF?

Yes, though the downloaded spreadsheet version keeps the columns cleaner, which makes the numbers easier to work with.

Can ChatGPT tell me if FedEx underpaid me?

Only if you give it your contract rates, and even then, treat what it finds as worth checking rather than proof. Check the arithmetic against the statement.

Is it safe to upload my settlement statement?

It holds your business's revenue and, in the per-driver section, your drivers' details. Remove that section, and check your account's data settings first.

Can ChatGPT compare my weeks?

Only the weeks you give it in that conversation. For a trend over months, you need to keep the weekly numbers somewhere, or use a tool that does.

What does a settlement tool do that ChatGPT doesn't?

It already has your contract and your history, it checks your rates with the same rules every week, and it does it without being asked.

What a tool built for settlements adds

ChatGPT is brilliant at the conversation. The difference with your AI settlement auditor in Route Impact is what it already knows and what it does without being asked. It has read your Schedule C and every settlement you've connected, so it knows your per-stop rate because it read your settlements. It recomputes the per-stop and per-package rates and the service charge against your own rate card with the same rules every week, and flags differences for your review with the dollar amount: smart isn't the same as checked. And it reads each new statement when it arrives, so the check happens on a busy week too. Ask your AI Chief of Staff anything about your operation, and the answer comes with your numbers in it.
